CoatSpec is an initiative of Coating Advies Nederland B.V. (“CoatSpec” or “we”), sister company of M2LAB. We handle personal data with care. This privacy statement explains which data we process when you visit coatspec.com, take the Risk Scan or fill in a form, why we do so, how long we keep the data and what your rights are.

Coating Advies Nederland is the controller for the processing described in this statement. This statement applies to coatspec.com.
2. Which data we process
- Risk Scan: name, company name, email address and phone number, your answers in the scan and the outcome (risk score, confidence and points of attention).
- Demo, quote and contact: name, company name, email address, phone number and your comment or question.
- Clients: names and contact details of contact persons, and data on quotations, orders and invoices.
- Contact by email or phone: the data you share with us yourself.
- Website visits: technical data such as IP address, browser, device and pages visited, through cookies and similar technologies (see section 6).
We do not ask for special categories of personal data, such as health data or religious beliefs. The website is not intended for children under 16.
3. What we use your data for
- Risk Scan: we send you the outcome of the scan and may contact you to explain the results. Legal basis: your request and our legitimate interest in informing interested parties properly.
- Handling your request: we schedule a demo, prepare a quotation or answer your question. Legal basis: your request, and steps you ask us to take before entering into a contract.
- Quotations and orders: we carry out orders and send invoices. Legal basis: performance of the contract.
- Legal obligations: such as the statutory retention period for financial records. Legal basis: legal obligation.
- Business emails: we may inform you about case studies, new features and services related to your request. Legal basis: legitimate interest in a business relationship, or your consent. You can unsubscribe at any time via the link in every email.
- Improving and measuring the website: we measure how the website is used. Legal basis: your consent via the cookie banner.
- Security and spam prevention: we protect our forms against misuse. Legal basis: legitimate interest.
4. How long we keep your data
- Risk Scans and requests that do not lead to an order: no longer than 2 years after the last contact.
- Client and order data: for the duration of the order and afterwards for as long as required by law. We keep financial data for 7 years because of the statutory retention period.
- Data for business emails: until you unsubscribe.
5. Who we share your data with
We do not sell your data. We only share it with parties that help us deliver our services, or when the law requires us to. These are:
- Sister company: M2LAB B.V., the laboratory that handles requests and tests together with us.
- Website hosting: SiteGround.
- Website management: Puntmedia, which builds and maintains the website.
- Email: Microsoft (Microsoft 365), where messages from the forms are received.
- Statistics: Google (Google Analytics and Google Tag Manager).
- Spam protection: Cloudflare (Turnstile).
- Risk Scan software: unpkg, which loads parts of the scan in your browser.
We make agreements on security and confidentiality with parties that process data on our behalf. Some of these parties process data (also) outside the European Economic Area, for example in the United States. In that case this is based on appropriate safeguards, such as the EU-US Data Privacy Framework or the standard contractual clauses of the European Commission.
6. Cookies and similar technologies
- Functional cookies and technologies make sure the website works properly, for example for forms, the Risk Scan and spam protection (Cloudflare Turnstile).
- Statistics cookies (Google Analytics) show how the website is used.
We only place statistics cookies if you give consent via the cookie banner. You can change your choice at any time via Cookie settings at the bottom of the website, or delete cookies in your browser settings. Which cookies we use exactly is described in our cookie policy.
7. Security
We take appropriate technical and organisational measures to protect your data. The website uses a secure connection (SSL), access to data is limited to staff and parties who need it, and our systems are updated regularly.
8. Your rights
You have the right to:
- access your data;
- have incorrect data corrected;
- have your data deleted;
- have the processing restricted;
- object to the processing, for example to business emails;
- receive your data in a common format;
- withdraw consent you have given.
Send your request to info@coatspec.com. We will respond within one month. To make sure the request comes from you, we may ask you to verify your identity.
Not happy with how we handle your data? Let us know and we will work with you to find a solution. You can also file a complaint with a data protection authority, such as the one in your country or the Dutch Autoriteit Persoonsgegevens.
9. Changes
We may update this privacy statement, for example when our services or the law change. The current version is always on this page. The date at the top shows when it was last updated.
